The Service

We consider ourselves a data processor, we describe what our service is, how it operates and how to use it. You choose what you use this service for, what data you put in it, how long you need the data for etc – within the limits of acceptable use.

Whilst this service is intended for use by medical professionals, it is not a medical service and no warranty as to suitability is implied.

We take the stability, safety and security of our services very seriously, if you suspect this service is being misused or abused you can contact us at abuse@medi-office.com and we will investigate.

Returns / termination

Should you be unhappy with our service, you may request termination within 30 days of purchase and we will issue a refund for unused service on a pro rata basis and close your account within 1 week. Once you notify of us of termination and confirmed termination you have 1 week to download your content before we remove your details and account.

After 30 days, refunds for unused service are at our sole discretion.

We can terminate your services if you breach the terms of service, if we believe you have obtained the services / email address dishonestly, by deception or to deceive.

Email name

You get to request the email address you would like to use eg. firstname.lastname@medi-offiice.co.uk when you checkout and complete your order. Just put your preferred email in the order comments box.

You must not pick a name that means you could be misrepresenting a person or organisation. You must not pick a name that could be deemed offensive.

If the name you wish to use is already taken, we will contact you to see if any alternative names to use for the email account are suitable. If no alternative name is suitable in your opinion, we will offer a refund unless you have used your account to send emails, which means you have accepted the name as suitable.

Service Availability and Reliability

We aim for our service to be available for use 99% of the time. We have our standard maintenance times each morning 7AM to 8AM and 9 PM to 12PM, Saturday GMT. During these times we will perform maintenance, which may cause momentary interruption to service such as to apply updates and patches to our computers. Brief service interruptions are gracefully handled by email services without loss of emails and usually you will not notice.

There may be circumstances when we need to maintain our computer systems at other times, such as to apply emergency updates or to fix service issues.

Acceptable use

General

You must only use the service as authorised and for bona fide reasons in good faith. You must comply with all relevant laws and regulation.

Bona fide use

You must not misrepresent yourself or claim to represent someone or a practice without their explicit permission.

You must not use the services / account of another person without their permission.

You must not test or attempt to bypass the security in this website and our services.

You must not use this service for any unlicensed medical practices.

You are not to use this service for any unsolicited marketing or bulk email often called spam.

You must not use this service for any activity that could be determined dishonest, misleading, unfair, harassing, quackery or fraudulent.

You must not use the service for dissemination of pornography.

Viruses

You must not use this service for storing, processing or transmitting computer viruses including worms, Trojans etc, computer programs that could typically be called a generally unwanted program and code or programs intended to cause harm, loss or disrupt computers and networks.

Data Breach

Should there be a confirmed data breach caused by hacking we will let you know as soon as reasonably possible, aiming to within 36 hours of our awareness.

Breach of these terms of services

A breach of these terms of service may result in your services being terminated and we will give you reasonable notice to download your emails. Serious breaches, such as those intended to harm or disrupt these services, harm others or illegal activity may result in immediate termination of services.

Access to your emails and data

We do not use your emails for marketing, to target adverts or to train any artificial intelligence. We do not share your emails or details about you and your use of our services except that which is necessary for using the service e.g. handling payments.

We scan the content of your emails for viruses and other malware. Suspected viruses are either deleted or quarantined for manual review.

We will only share your details or the content of emails with third parties when legally we are compelled to e.g. court order.

Indemnification

You agree to pay our reasonable expenses including legal fees should your use of the service cause us to be on the receiving end of legal action etc. For example, if there is a dispute over the name you have chosen for your email account.

Other fees

Our standard fees for dealing with ad-hoc requests are £80 per hour or part of.

Limits of liability

By using this service you agree that our limit of liability is the cost of an annual subscription to the service, to the extent we are allowed to limit our liability by law.
